How we use your personal details
As part of the application process for membership of the EAJS, and for the registration of details in the EAJS’s Online Directory of Jewish Studies in Europe, we collect, store and use some personal information. The EAJS is committed to protecting the personal information of members and membership applicants. In the following, we explain why we need the personal details we request, how we will use them, and how we will make sure to keep them secure.
The EAJS is equally committed to protecting the personal information of all visitors (members and non-members) to the EAJS’s website.
What details we ask for from our members and membership applicants and why
There are minimum levels of personal information we need to obtain for processing and approving your membership application, and administrating your membership, such as your title, name, contact details and address, university department details, areas of academic research and teaching, membership of national Jewish Studies Associations, an optional short academic biographical summary, and up to two referees. This information is collected via the membership application forms on our website.
Consent to hold and use your entered personal information for administrative purposes will be requested at the time of application. Consent to hold and use the entered data will not be implicitly assumed and must thus be explicitly provided by the applicant. However, if consent to hold and use the data is not provided, it will be impossible to proceed with the membership application.
Existing members will also be requested to provide consent for the EAJS to continue to hold and use the personal information provided at the time of their application. However, if consent to hold and use the data is not provided, it will be impossible to administer the membership and it will be necessary to cancel it.
The EAJS will use your email contact details to contact you regarding your membership application (for example, to notify you about the success or failure of your application, or to clarify details when unclear). If your application to join the EAJS is successful, your email contact details will also be used to communicate to you regarding subsequent membership payments, membership arrears, and other matters relating to the activities of the EAJS and administration of your membership. We will also send you a monthly members newsflash and other occasional announcements related to the field of Jewish Studies that we judge to be of interest to members. Consent to use your email contact details for these purposes will be requested.
The EAJS occasionally offers members the opportunity to apply for conference grants, travel bursaries, and other programmes to support our members’ academic endeavours. In the case of these grant and bursary applications, some personal data will be collected in order to facilitate the selection process. These details may be sent to short-listing and award-selection panels, but will only be retained for the minimum time required for the purpose of processing and administrating these awards.
Please note that membership payments are processed by Worldpay. The EAJS is informed by Worldpay when a payment is made by a member, but does not receive or hold credit/debit card details.
The EAJS Online Directory of Jewish Studies
At their request, the EAJS Online Directory of Jewish Studies in Europe lists European-based scholars, institutions and university departments who are in the field of Jewish Studies. Full Members of the EAJS have the option to have some of their details displayed publicly (i.e. not just to other members of the EAJS) in this online directory of Jewish Studies. These details will only be publicly displayed for Full Members who have provided consent for this, and consent may be withdrawn at any time.
Post-doctoral scholars at European universities and other higher education institutions whose teaching and research are in the academic field of Jewish Studies are encouraged to provide their details even if they do not wish to apply to join the EAJS as a Full Member. In order to administer these Directory-only academics, the EAJS requires some personal information including title, name, contact details and address, university department details, areas of academic research and teaching, membership of national Jewish Studies Associations, and an optional short academic biographical summary. Scholars who are not members of the EAJS may choose to publicly display some details of their academic affiliation and activities in this online directory of Jewish Studies. These details will only be publicly displayed for Directory-only academics who have provided consent for this, and consent may be withdrawn at any time.
The details displayed in the online directory for EAJS Members and Directory-only academics who have provided consent include the member’s university/department details, academic areas researched and taught, and optionally a short biography field. Non-academic details will never be displayed in the online directory.
Associate Members and Student Members of the EAJS will not have their details displayed in the online directory of Jewish Studies.
When we will get in touch
If you have provided us with consent to use your email for correspondence purposes, we will send you a monthly members newsflash containing links to announcements related to Jewish Studies. These include such things as new positions, grants, fellowships, conferences and workshops, call for papers and recent book publications. We will also send you other occasional communications containing information about matters connected to the academic field of Jewish Studies. Our aim is to communicate with you in a way that makes you want to stay involved with the EAJS.
We will not share your data with third party organisations
Please be assured that we will not share your personal data with third party organisations. We need to share limited information with our service providers who help us to prepare and send you our communications or process your membership fees. However, we do not allow these organisations to use your data for their own purposes and take care to ensure that they keep your data secure, and delete it when it is no longer needed.
How to stop or change how we communicate with you
If at any time you wish us to stop communicating with you, or to use a different email address for communication purposes, please do get in touch with the EAJS Administrator (https://www.eurojewishstudies.org/contact-us/)

How to check and update your details
You can check and update the details that we hold for you by logging in to your account on our website using your user-id and password. Alternatively, you can request the information to be sent to you within 30 days by getting in touch with the EAJS Administrator.

How to remove your details
If you wish the EAJS to remove all the information we hold about you, you can do by getting in touch with the EAJS Administrator.

Data will be deleted within 30 days of receiving your request. Please note that if you request us to delete all the data we hold for you, this will make it impossible to administer your membership, and we will have to cancel your membership.
Security of your information
We take our duty to protect your membership and personal information seriously. We are committed to taking all reasonable measures to ensure the confidentiality and security of personal data for which we are responsible, whether computerised or on paper.
Information provided in confidence will only be used for the purposes advised and consented to.
The information provided by members is held in a database. The database and website are located on a London based server provided by Vultr. Backups of the database are also retained for 14 weeks.
Some of the details held in this database will be used internally within the EAJS for administrative purposes in the form of word documents and excel spreadsheets. Box, a GDPR-compliant Cloud storage company committed to data privacy, is used to store these files. These files will only be retained as long as necessary and will be deleted when no longer required
To remove your details from our database and files, please do get in touch with the EAJS Administrator.

Announcement requests received by EAJS
Departments, institutions and individuals involved in Jewish Studies may submit requests to the EAJS via email to post announcements on our website. By sending us your announcement request, you agree to the announcement being posted on our website for up to one month or until its deadline if specified. Announcements posted on our landing page will be included in our members monthly newsflash if the deadline for the announcement has not expired at the time the newsflash is sent out.
Visitors to the web site
Visitors to the web site can use the site to search for information without revealing their identity or providing information about themselves. The EAJS website does not capture and store any personal information about individuals who access this website and who do not log in.
Links to other sites
The EAJS website provides external links to other websites. The EAJS can accept no responsibility for the quality of the external sites or the levels of privacy protection they provide. You should read these sites’ privacy statements. We do not share information with other web sites.
Cookies
Cookies are small text files on your device (computer, smart phone etc). They are made by your web browser (on your computer or mobile device) when you visit certain websites. Every time you go back to that website, your browser will send the cookie file back to the website’s server. We do not use tracking cookies to record web sites you have previously visited.
